Dines timesheet mobile app
This app enables you to enter your labour time, plant time, holiday time and also allowances
if appropriate and send this data directly to our accounting system for approval.
This tutorial is comprised of the following sections:

Before commencing please ensure you have obtained from Finance:
Your username,
Your password
the password for accessing Business Central.
Logging in
The first time you use this app you need to be online!
Once you have downloaded the app enter your userID (6 digit number beginning with 9) and
password which are provided to you by Dines specifically for the timesheet app. You are only
required to enter your userID and password once.
You will then be prompted to log into Business Central.

Enter timesheets@dines.co.nz as the username and then enter the Business Central
password. Note that “Forgot my passworddoes not work for this login.
Once confirmed you will be transferred to the input page. Give the app a few seconds to
refresh the data in the tables.
Entering labour hours

At the top of the input page is a day carousel.
Swiping left or right on this moves you through the current pay week by day. Your labour and
plant hours are entered into the app on a daily basis. Plant hours are recorded so that the
company can monitor plant usage.
Below the carousel are three dropdown boxes for job number, task number and plant
number. The job dropdown lists all currently open jobs. You can select a job by scrolling
through the list or searching for a job to narrow down the list.
Once a job is selected the task dropdown will list the tasks specific to that job. Select the
appropriate task. Tasks are specific to the job selected.
You should enter both your labour time first and then the time you have spent using a certain
item of plant during that labour time on the same task.
Labour time must be entered before plant time and in chronological order. Plant time can
never exceed total labour time.
If you are entering labour time the next step is to enter a start and finish time for that task.
See the example below to enter 4 hours for job 516 and task 050.
You can also add a comment in the comment box if you wish.
Once you’re happy with your input click Create to create the timesheet entry. The entry will
appear in a list at the bottom of the screen – see example below.

If you are entitled to a foreman allowance then once you’ve entered your hours click the
Foreman button. It will turn green and when you click Create an FM will appear in the entry.
If you decide you need to edit or delete the entry you have just created you can click on it
and an edit or delete option will appear. Once you’ve edited the details click the Update
button.
To enter your next task time click on the appropriate job and task and then on the Start
button. This time will default to the last finish time you entered. Enter your time and then click
on the Create button to create your next time entry.
Once you are happy with your entries you can click on the Send button. This will send the
timesheet lines entered for that day to Business Central if there is a network connection.
Once received by Business Central the timesheet line will change colour to light blue to
show receipt of the time sheet line data. Once the timesheet line has changed colour (is
no longer smokey grey) it can no longer be edited in the app.
If you need to change the line after it has been sent then you will need to get your project
manager to change the line in Business Central.

Entering plant hours
Entering plant hours is very similar to entering labour hours.
To enter plant hours simply select the job and task as before and then select the relevant
plant item.
Notice that when plant is selected the net hours box turns blue and has the word “Input”.
When entering plant hours then you have two options.
You can either:
enter the start and finish time like you do with labour or;
you can simply click on Input and enter the total hours you have worked with that
plant item on that job and task.
Helpful Buttons
The DUP button is useful if you are doing the same job, task and times as the previous day.
Clicking on this button will prompt you to confirm that you want the current day’s time sheet
lines to be the same as the previous days. This option will delete any entries you have
already made on this day.
The Clear button clears all the drop down list boxes and the times so that you can quickly
move onto the next entry for a different job.

The Summary button takes you to the Summary Page – refer details of this page later in this
document.
The Summary Bar
The Summary bar on the daily input screen provides a summary of total labour, plant and
allowances for the day and for the week (on the right).
The ADMIN job.
If you need to record time that isn’t chargeable then you need to use the ADMIN job.
This time might include annual leave, sick leave, bereavement leave, Leave without pay,
ACC etc. There are specific validation criteria applicable to certain task selections within the
ADMIN job. For example, annual leave and sick leave cannot be selected on Saturday or
Sunday.
Some tasks under the ADMIN job are classed as allowances: Travel 1, Travel 2 and Meal
Allowance. If one of these tasks is selected the “net timecalculation will show 1 and the
start and finish time buttons will be greyed out.
If you spend time repairing plant then you should select the R&M task under the ADMIN job.
In this specific instance the Plant dropdown box will be enabled so that you can select a
plant item. You will need to enter a start and finish time as this time will be recorded as
labour time rather than plant time.
The Summary Page
The Summary page provides a summary of total hours entered for the week for labour and
plant as well as quantity of allowances.

The buttons on this page function as follows:
Return - returns you to the daily input screen.
Send – sends any unsent transactions for the whole week to Business Central rather than a
day at a time.
Update – Performs a quick update of the status of jobs in the table. Transaction lines will
change colour depending on their status:
Smokey white – entered but not send
Light blue – sent and received by Business Central
Orange – received, edited in the approval process and approved
Grey – approved without editing
If your time sheet line is orange (has been edited then approved) you will need to speak to
your time sheet approver if you wish to obtain more information.
Refresh – Refreshes the jobs, tasks, plant and people tables in the mobile app to ensure
you have the latest data
Logout – logs you out of the app and takes you to the log in screen
Expand – expands to show all transactions created for the week together with their status

The Approval Process
The approval process is performed by the project manager managing the jobs you
have entered into your time sheet.
Once a timesheet line has been received the project manager is able to review the
line and either approve the line, edit and approve the line or delete the line.
When the time sheet app is refreshed the timesheet lines are updated with different
colours depending on their status:
Blue = received by Business Central
Orange = edited and approved in Business Central
Grey = deleted from Business Central
Green = approved in Business Central
Rolling the week.

You will have until Wednesday 11:00am to enter data for the previous week until
Tuesday. After that time that pay week’s data in the app will be deleted
If an employee has not submitted all their transactions by this time they will need to
provide a paper time sheet and have this signed by the project manager.
